This notice explains how we handle information when you use this website or get in touch about a wedding or elopement in Japan.

When you inquire
Our form asks for your names, email address, where you are based, what you are planning, dates or season, guest numbers, what draws you to Japan and 37 Frames, what you would love to create, and the budget you have in mind. You can also leave a further message. We record the service acknowledgments that apply to your inquiry.
We use what you share to understand your plans, consider availability and whether our services suit what you are looking for, and reply to you. For couples hoping to work with us, our personal reply includes our Collections and Wedding Planning guides. Any invitation to a Zoom conversation follows that exchange and depends on availability and your plans.
The form saves your inquiry in our website database before trying to send email. It then tries to email a copy to the address you provide and to our main and backup studio inboxes. These emails include your form answers, so please check your email address before sending.
We also keep an inquiry reference, delivery information and records of changes made by our team. These help us find your message, follow up and investigate delivery problems.
Submitting an inquiry does not sign you up to a mailing list.
The services that help us
Cloudflare hosts the website and stores its inquiry records. Resend sends the inquiry emails and provides delivery information. Google provides our main and backup studio inboxes. Access to saved inquiries and their backups is restricted to authorized people and services.
Some of these providers process information outside Japan. Resend states that it stores data in the United States. Cloudflare uses international infrastructure. We can provide information about the providers and safeguards relevant to your inquiry on request.
How long we keep information
If an inquiry does not become a booking, we keep the saved website form and its backups for no longer than 24 months from the date you originally submitted it.
The same limit applies to the duplicate inquiry emails in our studio inboxes.
If you book, we use the information needed to plan and deliver your celebration. We retain relevant client records and later correspondence for as long as needed for that work, related follow-up, our legal obligations or resolving a dispute. We review what is still needed and delete information when there is no longer a reason to keep it.
Your copy of the confirmation email remains in your own email account, under your control.
Keeping the website working
Cloudflare processes technical information, which can include IP addresses and traffic details, to deliver and protect the website. We use operational records to investigate problems with the inquiry service.
Our inquiry checks use test details and studio-owned inboxes. Checkly checks the service and the receipt of test emails; it does not access couples’ mailboxes. We use Checkly and a private Slack channel for technical alerts. These alerts contain service status and references, rather than your form answers or email contents.
Links and films
Links to our Journal, photography portfolio, social platforms and other services take you to those websites. Their privacy information applies when you use them. Our wedding film links open on YouTube when you choose to follow them.
Questions and requests
You can contact Dee at dee.green@37frames.com to ask about information we hold about you, request a copy or correction, or ask us to stop using or delete it. You can also raise a concern about how we have handled it.
Please describe your request and give us enough information to find the relevant inquiry. We may need to confirm your identity before disclosing or changing personal information. We will explain the outcome, including any limits that apply to your request.
